Certain attributes of bookings can be updated like staff, date and time, location, customer information, and reviews.
Attributes related to customer's purchases (and invoices) may not be updated (service variants, prices)
Payment gateway integration allows you to refund directly from the admin panel, and also charge the customers.
"Repeating appointments" is a separate module, handled completely differently.
List Bookings
You can list the bookings, and search by customer, reference, service name, and staff name. Can't search by Date & Time or Status. For searching bookings at a certain date, you can use the Calendar.
The Export CSV button exports the data on the page.
The "New" button creates a booking. View the article "Create a new booking" that explains in detail.
If you click on the individual row, you go to the booking view/detail page. From there, you can update the booking.
View Booking Details
To modify booking information, click on the pencil icons in each section.
You cannot alter purchase details, but you can see them by clicking on the "Amount" hyperlink. This is where you will view and manage invoicing if you activated for your account.
For package bookings (not multi-session courses, but when you sell 4, 8, or 10 sessions of the same appointment-based service), click on the price to access the Purchase page and view all bookings for that package. Here is more about Packages.
You can click on the Customer name to view customer details, including their past bookings.
Any changes you make to the booking here won't affect the customer's contact information and addresses. We store a snapshot of these details with the booking, and your changes will only apply to that specific booking. If you want to modify customer attributes, click on the customer's name and make the updates there.
Update a Booking
Pencil icons open the dialog to update the booking. Depending on the schedule type of the booked service, these dialogs will differ. For fixed-dated courses, you will see the potential booking dates.
Cancelling a Booking
You can cancel any booking with the "Status" dropdown in the booking view page (see image below).
Cancelled bookings can't be reverted back to "Confirmed".
You will get asked if you want to cancel the booking with or without a refund. Below explains why.
Cancelling with or without a refund
Every booking is associated with a customer purchase. If you cancel without a refund, the associated purchase is intact. Your sales revenue reports will still show the revenue.
If the booking is paid by card, then this checkbox will automatically refund the payment back to the card.
Even if the booking is cash on delivery, it is still important to check the box in case you don't want it to show as revenue.
If this booking is part of a package (not a multisession course, but sold as 4,8 sessions etc...) then the refund will be credited back to the package. If a customer books online 8 sessions of physiotherapy sessions, and books the very first session while purchasing the package, and you cancel that booking with a refund, the amount paid by card won't yet be refunded back to the card. We need to keep the flexibility of cancelling that booking without actually refunding the card. If you want to also refund the card, then you should click on the "Amount" and go to the "Purchase" page of that booking. and from there, click the "refund" button.
