Create a Booking as Admin

How you create a booking (from the admin panel) for different types of services

Highlights

  • Creating booking is a 2-step process, with purchase details (service variants, price, package selection, payment method), and the booking details (staff, schedule)

  • kiwi supports different user flows, meaning you can initiate creating a booking from multiple points (calendar, customer page, purchase page)

  • You can charge the customer's card in the system directly, or redeem from a package if the customer already has a package, or directly purchase new packages.

1. Bookings - New Booking

2. Choose Purchase Details

A) You can search with the customer's name and email address

B) If they don't exist in your database, you can create a new (or walk-in) customer with the "+ New Customer" button. Email OR name is mandatory.

C) Choose service options that were defined while constructing the service (this form is dynamic, duration options, custom options, and package options are all reflected here)

D) The default price for a booking (purchase) option is set here. You can override if you provide a custom price to the customer.

E) The payment method will list cash on delivery and the customer's credit cards in the system. Cash on delivery generically covers all options other than card. We didn't list potential values like bank transfers, cheques, etc.

Important: When you click the button NEXT, you will be prompted to set the booking details, but until you do so, the customer's card is not charged and the purchase (and any invoice) is not created. However, for package purchases where you transact the payment of a new package, that happens when you click the NEXT button.

3. Scheduling and Booking Details

A) Choose the Staff member(s) that will provide the service. You can choose multiple.

B) The date and time of the service are selected, we don't yet show a calendar view here, but we show the available slot. As admin, you CAN create bookings for non-available times. This is for guidance only. We don't restrict you.

C) Location is only relevant for at-home services. If it is not an at-home service, it won't appear on the form. If the customer has a pre-entered address (from a previous online booking or entered by the admin) then it will be set automatically.

4. Newly Created Booking Page

You will be redirected to the booking detail page where you can make changes or cancellations. Find here the details related to this page.

For fixed-dated services (courses, group activities) the scheduling step shows the available start dates:

Purchase Details Step for Services with Packages

For services that are sold as packages (e.g. 10 sessions of kitesurfing course, 8 sessions of nutrition consultancy) the first step offers the option to buy a new package and/or redeem from an existing package.

If you buy a new package, then the first step already creates the package purchase with 0 (zero) redemptions, and the 2nd step acts to redeem the very first package.

A) Redeem from 0/X sessions will directly pass the user to the scheduling tab as no need to choose the options and price. The packages were previously purchased, and the options selected are already selected.

B) The "Buy new package" button will open the purchasing options as the user has to decide what package and options to purchase.
